- Professional information — CV, work experience, skills and qualifications, shared in the context of a recruitment engagement.
- Portal usage data — login activity, feedback submitted, and actions taken within the Vector Client Portal.
- Technical data — IP address, browser type, device information, and pages visited, collected automatically through cookies and server logs.
3. Why we process your data
We process personal data for the following purposes and legal bases under GDPR:
- To provide our services (Art. 6(1)(b) — contractual necessity) — matching candidates with organisations, managing recruitment engagements, and operating the Client Portal.
- To communicate with you (Art. 6(1)(b)/(f) — contract or legitimate interest) — responding to enquiries, scheduling conversations, and sending engagement updates.
- To improve our platform (Art. 6(1)(f) — legitimate interest) — analysing usage patterns to enhance the user experience.
- To comply with legal obligations (Art. 6(1)(c)) — tax, accounting, and regulatory requirements.
We do not use your data for automated decision-making or profiling that produces legal effects.
4. How we share your data
We do not sell your personal data. We may share data with:
- Clients — candidate profiles and assessments, shared only with the specific client organisation involved in an active engagement, with your knowledge.
- Technology providers — Cloudflare (hosting and security), Brevo (email communications). These processors operate under data processing agreements and are GDPR-compliant.
- Legal or regulatory authorities — when required by law.
All data is stored and processed within the European Union. We do not transfer personal data outside the EEA without appropriate safeguards.
5. How long we keep your data
- Contact form submissions — 2 years after last contact, unless an engagement follows.
- Candidate data — duration of the engagement plus 2 years, or until you request deletion.
- Client portal data — duration of the contractual relationship plus 5 years (legal retention).
- Technical logs — maximum 90 days.
6. Your rights under GDPR
You have the right to:
- Access your personal data (Art. 15)
- Rectify inaccurate data (Art. 16)
- Erase your data ("right to be forgotten") (Art. 17)
- Restrict processing (Art. 18)
- Data portability — receive your data in a structured format (Art. 20)
